  • Appropriate fees and registration sent to TESOL for the next year
Vice-President’s Report—Jan
  • Attended TESOL and affiliate assembly
  • Volunteered at affiliates booth—no one came by
  • Sent out by e-mail a TESOL statement  for affiliates to use regarding comprehensive immigration reform
  • Barbara—do we as an organization want to make a statement about immigration reform?
  • Cathy--we could print the TESOL statement in our newsletter
  • Barbara—Margaret will be going to an advocacy meeting in DC on this matter, so we can write something up in the newsletter
Treasurer’s Report—Cheryl
  • Handed out report
  • Report includes a comparison of balances at the end of May for various years—2002 to 2006
  • We have done better in the last two years
  • In 2004, the revenues from the conference didn’t come in until much later

Conference Reports—Tom, Cathy, Leslie
  • For MIDTESOL Fall Conference, Shelly Fair and Holly ______ and Susan Kreth as keynote speakers
  • Possible Pre-conference workshop by Calle Sur about how to incorporate multicultural lesson ideas into classroom
  • Are applying for a grant to match the costs to pay for Calle Sur
  • Working on Postville bus trip on Thursday—can’t do on Friday due to Sabbath
  • Mark Grey quoted a high price at first for this trip and said we needed a minimum of 40 participants
  • $35 tour including lunch;  $15 for tour bus—need to have 40 registrants
  • All day Thursday—8 a.m.-?—led by Mark Grey
  • Tour of kosher meat packing plant, boys and girls schools for Jewish community., downtown area
  • Leslie—will there be a description of the tour?
  • Cathy—we are working on it—there will be
  • Cathy—were trying to work out school visits, but they all have pre-teacher conferences on Friday, so can’t
  • Susan--when is board meeting?
  • Cathy—Friday afternoon
  • Barbara—board meeting from 4-6

  • Cheryl—worried about the time limitations
  • Barbara—final decision—board meeting 1-4 on Friday
  • Barbara—what is possibility of Thursday trip?  You’ll have to rely on IA for that trip
  • William—asks about opening it up to community members
  • Mary—do you offer it to IEP students or TESOL students?
  • William—needs a word document about the trip to post on web—will they do on-line payment?
  • Tom—no on-line payment—send in credit card information to conference services
  • William—the sooner we can publish information on the web the better
  • Susan—in the past, after lunch, we have general board meeting and we close the publishers so no one else would have a place to go—do we want to do that?
  • Tom—have had to change buildings for sessions
  • Cheryl—how about having business meeting at lunch
  • Susan—good idea—have it during lunch and have drawing for free books after business meeting
  • Jan—how many proposals so far?
  • Tom—11 or 12 so far—2-3 IEP; rest are general—deadline June 30
  • William—have we worked with IA TESOL to advertise?

  • Leslie—where is 2007 conference?  Lake of Ozarks?  Tantara is a possibility
  • Barbara—let’s go ahead and book a date in late October—we won’t be in conflict with MELL that year
  • Margaret—has contacted every publisher
  • Tom—asks us all to please submit a proposal
Membership Committee—Bill Trudeau
  • Currently 183 on mailing list
  • Beginning a membership audit to make sure information is updated and correct
  • New membership form on website so that everything on form is on database
  • 44 people with expired memberships—how hard are we on that?
  • William—e-mail them to remind them if they register for conference, they’ll be reregistered
  • Barbara—let them expire
  • Cathy—do you have names of all lifetime members? 
  • Barbara—is there a 3 year membership still? 
  • Membership numbers?  Do we want to have?  Is there need?
  • Jan—it helps keep track for renewals
  • Cathy—in the past, we added expiration date of their membership on their mailing label to remind them
  • Barbara—good idea to put an explanation on newsletter to check your expiration date
  • If we do membership renewals at conference, it will cause confusion
  • Barbara—we should get rid of 3 year membership
  • Jan—all expiration dates should be Oct. 31 every year so if they don’t come to conference, they can register and if they do, they’ll be registered at conference
  • Cheryl—instead of saying conference registration “includes new membership” say “includes free membership”—attending conference adds one year to your membership, no matter how long you have now
  • Jan—do we need a student membership? 
  • Mary—we should keep student membership rate
  • Cheryl—don’t think there are any students who are members who don’t attend conference, so we could drop student member rate

  • Bill—if we really wanted to have institutional memberships, we have to further clarify the purpose
  • Barbara—put together a committee to clarify institutional membership benefits

  • Bill—asks about interest groups—what do each mean? 
  • Barbara—we should keep them as they exist now
  • Cheryl—we could change higher ed to teacher training to make it clearer
  • Jan—if registration for conference includes membership renewal, do they have to fill out a separate form for renewal? 
  • Bill—needs hard copy of registrations to set up their renewal
  • Tom—why do we track interest group info?
  • Barbara—we are starting interest groups so that’ll help us

  • Jennifer Morrison won the travel grant for TESOL academy in Chicago
Publishers Liaison—Margaret
  • Contacted all exhibitors at TESOL Tampa to ask them to come to fall MIDTESOL conference
  • Asked them about putting ads in newsletter
  • William—what is price of tables? 
  • We may conflict with meetings in other states for attracting publishers
  • William—Pro Lingua and Townsend Press will probably attend
  • Jan—a few years ago, exhibitors gave out books before conference ended, so some people left early—so, please ask exhibitors to not do that until end
  • Tom—in welcome packet, brochure for Fair Trade store—we should invite them to exhibit

  • Susan—Maryville U Reading/ELL conference asked if they can advertise their meeting on our website
  • William—in past, we have published this type of information
  • Barbara—have them send info to William and Jennifer Morrison to put in newsletter
  • Bill—part of website could be related conferences of interest as a separate page—a links page

  • Barbara--It’s great to have a newsletter and  it’s beautiful
  • Susan—we will need a new IA conference chair on the new board for next year—will have to open it at fall meeting
  • Jan—we should have new members sit in on board meeting to get a feel for the board
  • Bill—does that mean we would cover their travel?
  • Barbara—should we share information from our newsletter with others
  • Cheryl—suggests to draft a statement to publish:“Materials published in MIDTESOL Matters become the property of MIDTESOL and may be shared with other TESOL affiliate organizations”

  • Asks if any new members have joined from IA since she joined the board?
  • Set up MIDTESOL display IA February Culture/Language Conference —people wandered by, but no one took newsletters—put out candy, cards
  • Bill—asks if he should let IA and MO reps know when new members from their state have joined
  • Mary—will be in Russia for the fall on a Fulbright

Old Business
1.  Brochure
  • Susan—is the only one on brochure committee
  • Front of brochure--our new logo with our name with year we started
  • First page--mission statement
  • Middle part—benefits of being a member of MIDTESOL(needs to get with Stuart on this)—awards, newsletter, website, etc.
  • Third part—membership application
  • On back—Photos of board, conference
  • Jan—volunteered to be on brochure committee
  • Mary—add to benefits, opportunities to network, things to encourage students—do we have a photo archive?  Historian should have
  • Barbara—asked Historian to bring books to next conference so we can go through and see what there is
  • Jan—we should have a Historian’s table at MIDTESOL meeting with photos so people can see what we’ve done in past
  • Bill—is the purpose of brochure to get people interested in joining MIDTESOL—also to publicize organization as a whole—membership form should not be on brochure—rather we should use it to tell our story/mission, etc. 
  • Cathy—in IA they have a mailing list with every ESL teacher on it—we should send to every person by mail—have had a large response that way
  • Mary—should we have two versions of it? 
  • Barbara—original objective of brochure was not membership, but rather spreading the word about the organization
  • Margaret—if we are seeking funding for anything, we can use this brochure to show our mission
  • Mary—we should still keep in explanation of ESL because many people don’t know
  • Susan—first should be mission statement, then explanation of ESL, then benefits of membership
  • Mary—could also include testimonials from all levels
  • Jan—should we have a draft by October and prices?
2.  Board Notebooks
  • Barbara—handed out notebooks for each job position—each of us should add to and pass on to the next person who takes over
  • Cheryl—MIDTESOL needs to be written all in caps—that’s how we are registered in TESOL
  • William—we have had conferences in past in IA—what about tax exempt status?
  • Barbara—the tax exempt letter and IRS non-profit status letters should be enough
  • Jan—should we also keep electronic copies of things on a CD to keep in folder?
  • Barbara—yes, please keep those things on CD
New Business
  • Tom—do we provide tote bags for conference attendees?
  • Barbara—asked publishers to donate bags
  • Tom--$2/each for tote bags
  • Mary—the bags aren’t very sturdy, so don’t use them—maybe they aren’t necessary
  • Susan—in Lincoln, got bags from Chamber of Commerce—got pens, etc.
  • Jan—liked clipboards from MO conference
  • Leslie—which board positions open in fall?
  • Barbara—Vice President, New Iowa Conference Chair, Treasurer 
Interest Groups
  • Cathy—after general meeting on Saturday, we could have interest group meeting time
  • William—at other conferences, they have meetings on Saturday afternoon
  • Barbara—it is always relegated to the last time slot and people don’t go—but, if you put it in the main conference, other things are out—how about first hour on Saturday?
  • Jan—first hour on Saturday would be good; someone from board would be there
  • Cathy—or we could combine it with something of interest for that group—like a presentation
  • Barbara—a board member would be present, like a discussion groups at TESOL
  • Cathy—it would be like a brainstorming session
  • Barbara—we need people from both states involved—people need to get together physically—not just by e-mail or discussion boards
  • Leslie—it could be a newsletter
  • Bill—is there a need within each group to get together?
  • Cathy—start brainstorming process to get ideas on how to perceive the interest group and what it needs to develop into—the leader can put a summary in the next newsletter
  • Leslie—there could be a form that each person fills out listing their concerns
  • Tom—let’s choose a time in the schedule to combine a presentation plus interest section discussion
  • Cheryl—at the MO meetings there were breakout sessions and they were very effective—it wasn’t announced in program at all—it would be better to start by asking people to talk about their programs and issues they are facing
  • Susan—K-12 people are very interested in networking
  • Cheryl—we should have the breakout sessions right after lunch
  • Cathy—we could have the book drawing after the interest sections after lunch
  • Barbara—asks for volunteers to host interest sessions
